Schedule:

Monday - Friday, 8:30am-5:00pm
Hybrid - two days onsite, could vary depending on department need.

Location: Camden and Marlton, with occasional travel between hospital sites, as needed. 


Job Summary:


The Supervisor GME Program Management is responsible for managing the duties and processes related to the operation and functioning of one or more ACGME-accredited residency or fellowship program(s). Functions include but are not limited to efficient program administration and compliance with institutional, accreditation, and regulatory requirements. Collaborates with program directors, faculty, the GME Office, and institutional leaders to coordinate recruitment, onboarding, evaluation of trainees, curriculum administration, and accreditation documentation. Oversees the day-to-day activities of assigned support staff by leading, monitoring, coaching, mentoring, role modeling, evaluating, and educating to ensure high performance and consistency. Contributes to GME-wide initiatives, policy development, and process improvement to promote quality and operational excellence across all programs. Participates in professional development activities to enhance the skills and effectiveness required for the role.


Position Responsibilities:


Operations and Coordination:

Organize, coordinate, and track annual resident recruitment activities including participating in and managing the Electronic Residency Application system and The National Residency /Fellow Match Program as well as the interview process for candidates. Develop, and assist with facilitating annual orientation for program residents. Design, administer and maintain residency web-based management systems, databases and residency website. Maintain, enforce and adhere to the program specific policies, accreditation standards, hospital practices and Board requirements for residency specific education. Perform timely and accurate collection, formatting, transmission of all residency reporting and data collection systems. Review and monitor resident/rotation/faculty evaluations. Maintain current residency memberships. Coordinate and proctor residency in-training examination. Assist with resident and faculty schedules.  Assist residents with concerns and issues. Ability to provide resources or assistance immediately. Provide back up support to all programs when a coordinator is unavailable or unable to fulfill their duties. Assist with other responsibilities as assigned. Maintain and obtain clarifying information, when necessary, on program reports and regulatory/accreditation requirements.


Financial Program Support:

Monitor, document, track, and report all financial transactions related to the program(s) and trainees, coordinating with the GME Office to ensure fiscally sound stewardship.


Onboarding and Orientation:

Oversees the onboarding and orientation of trainees in collaboration with the GME Office to ensure all residents begin on their contractual start date. Maintains accurate and organized records of resident credentialing and compliance within approved systems. Reviews feedback from residents and faculty to evaluate the effectiveness of onboarding and orientation processes. Coordinates clear and consistent communication with incoming residents to support a smooth transition into the program.

Support the VP of Academic Affairs, DIO, Director Academic Affairs, Manager  and Institutional Coordinators in all functions of that role.  Facilitate the recruitment of program coordinators or other support staff. 

Oversee and assist in licensure or certification issues. Oversee the provision of accurate, timely trainee information and documentation required for promotion, termination and verification of trainees.

Perform various administrative functions related to the GME. Act as a mentor to GME Residency Coordinators.


Serves as an active member of the Graduate Medical Education Committee (GMEC) and assumes leadership responsibilities for designated committees or subcommittees. Collaborates with committee members and institutional stakeholders to develop, implement, and evaluate initiatives that strengthen GME operations, enhance program quality, and support continuous institutional growth.


Engages in professional development to expand knowledge of GME operations, accreditation standards, and leadership practices. Pursues opportunities to elevate program visibility and institutional reputation through professional involvement and by identifying potential grant and funding opportunities that support GME growth.


Position Qualifications Required:

Required Experience:

3+years of experience working in graduate medical education. Exceptional organizational, professional and interpersonal skills.

Computer proficiency, including skills in MS Office, online data analyst and management.

Must be a self-starter exhibiting a high degree of Professionalism and the ability to work independently.

Excellent written and verbal communication skills.

Dedication to maintaining confidentiality and professionalism.


Required Education:

Bachelor’s degree required, master’s degree preferred.

Annual Salary: $63,179 - $98,171 The actual salary/rate will vary based on applicant’s experience as well as internal equity and alignment with market data.
